Project Manager, Communications

Location: Remote
Reports to: Director of Communications

Position Summary:

Serve as the Communications Department's project manager, building and maintaining timelines and Gantt sheets for department initiatives, and coordinating stakeholders across sub-departments such as design and content so projects move smoothly from start to finish. Oversee project workflows for translating Joshua Project documents, books, and resources, and manage the department's global network of volunteer writers. Also provide administrative support to the Director of Communications, including scheduling, meeting agendas, content materials, and upkeep of the department's OneDrive.


Essential Roles and Responsibilities:

1. Project Planning & Timeline Management

  • Build and maintain project overview timelines and Gantt sheets for all active Communications Department initiatives.
  • Break projects into clear phases, tasks, and deadlines, and track progress against them.
  • Monitor timelines for bottlenecks or scheduling conflicts and proactively adjust plans to keep projects on track.
  • Maintain a master project calendar/dashboard that gives department leadership a clear view of what's in progress, upcoming, and completed.

2. Stakeholder Coordination & RACI

  • Hold regular check-ins with project stakeholders to confirm status, surface blockers, and align on next steps.
  • Build and maintain RACI matrices for each project, clearly defining who is Responsible, Accountable, Consulted, and Informed.
  • Coordinate handoffs between sub-departments — particularly design and content — so work moves smoothly from one stage to the next.
  • Communicate project status, risks, and decisions needed to the Director of Communications and other stakeholders.

3. Translation Project Coordination

  • Manage the end-to-end timeline for translating Joshua Project documents, books, and resources into other languages.
  • Coordinate across content, design, and translation contributors so translated materials move efficiently from source text through layout and final review.
  • Track the status of each translation project and flag delays or resource needs early.

4. Volunteer Writer Coordination

  • Maintain an up-to-date roster of volunteer writers located across the world, including their availability, areas of expertise, and current assignments.
  • Track writer assignments, deadlines, and submission status, following up as needed to keep work on schedule.
  • Serve as the primary point of contact for volunteer writers, providing clear guidelines, timelines, and encouragement.
  • Help onboard new volunteer writers and communicate upcoming project needs and schedules.

5. Administrative Support to the Director of Communications

  • Schedule meetings, calls, and departmental events for the Director of Communications, including calendar coordination across time zones.
  • Prepare and distribute meeting agendas, and capture notes, decisions, and action items for follow-up.
  • Assist in assembling content and presentation materials for meetings, reports, and departmental updates.
  • Organize and maintain the Communications Department's OneDrive, keeping files, folders, and naming conventions consistent and current.

6. General

  • Report regularly to the Director of Communications on project status, risks, and needed decisions.
  • Continuously refine project management tools and templates (timelines, Gantt sheets, RACI matrices) to improve the department's workflow.
  • Support other Communications Department projects and tasks as needed.

Knowledge, Skills and Abilities:

  • Experience building and maintaining project timelines (e.g., in MS Planner, Excel, or similar tools).
  • Familiarity with RACI matrices and other project management frameworks.
  • Strong organizational skills with the ability to manage multiple concurrent projects and deadlines.
  • Excellent written and verbal communication skills, including the ability to communicate clearly with a globally distributed, cross-cultural volunteer team.
  • Ability to coordinate across departments and sub-teams (such as design and content) and keep diverse stakeholders aligned.
  • Detail-oriented with strong follow-through.
  • Comfortable managing relationships and deadlines across multiple time zones.
  • Experience providing administrative support, calendar and meeting scheduling, agenda preparation, and file organization in OneDrive or SharePoint.
  • Basic understanding of translation or localization workflows is a plus.

  • Prior experience in project management, preferably within a communications, marketing, or nonprofit setting.
  • Demonstrated experience managing multiple stakeholders and cross-functional teams toward shared deadlines.

Minimum Physical Requirements:

  • Must have the ability to type written communication, speak, and hear with clarity to facilitate good communication in virtual meetings.
  • The duties of this job frequently require the worker to sit for extended periods of time.
